When creating a new template in Screendragon, you must provide a module. This allows you to add the forms and fields for the template that can be leveraged each time a new project brief is created, eliminating the need to recreate those fields.
Module Options
- Info: The module "Info" is a centralized repository for project-related information and documentation. This tab provides an overview of project activity, key project information, and any custom Meta tabs added during the project creation process. It enables users to monitor project progress and effectively identify potential bottlenecks. This module enhances collaboration by providing easy access to vital information for effective project management.
- Notes: The "Notes" module is designed for capturing, sharing, and organizing essential thoughts, observations, and remarks related to a project.
- Forms: The "Forms" module is a feature that allows users to create, manage, and submit customizable forms for various project needs. This module gathers data, feedback, or requests from team members, stakeholders, or clients. Forms can be tailored to specific requirements, ensuring that all necessary information is collected efficiently. By utilizing the Forms module, teams can streamline processes, improve data collection accuracy, and enhance overall project management.
This example is of a form section for "Deliverable Approvals," which includes a workflow approval process. - SUBS: The "SUBS" module, known as Sub-Projects, organizes and manages smaller, related projects within a larger initiative. This module allows teams to break down complex projects into manageable components, facilitating better tracking of progress, resources, and timelines for each sub-project. By utilizing the SUBS module, project managers can enhance visibility and coordination among different teams, ensuring that each sub-project aligns with the overall objectives and goals of the main project.
- Tasks: The "Tasks" module is a crucial feature for organizing and managing individual work items within a project. It allows users to create, assign, track, and prioritize tasks, ensuring all team members know their responsibilities and deadlines. The Tasks module facilitates collaboration by enabling comments, updates, and status changes, thus improving communication and accountability. By effectively utilizing the Tasks module, teams can enhance productivity, streamline workflows, and meet project milestones.
Tasks can also be reused in new projects when saved to a project template. Permissions can be set for which templates are available for which projects.
The task details are easily accessed to review and edit through a reading pane on the right-hand side.
When new tasks are added to a project, the sort order is defaulted to Task Start Date, with the earliest start date listed at the top. (This can be configured to another sort order if required.) - Files: The Files section of a project allows users to add files and manage access so only those who have been granted permission to the project can see them.
- Team: The Teams tab displays the profiles of users added to the project during its creation or editing. These users can access all project aspects and be assigned tasks and workflows.
- Meta Filters—The meta filters tabs allow users to filter the teams by the information they contain, such as Company, Expertise, etc.
- View—Selecting a user's profile picture displays all the information in their profile.
- Edit—When viewing a user profile, you can edit the user by clicking Edit Profile.
Note: Users with blanket permissions across a project type via the Project Permission Manager also appear within the Team module.
- Planner: The Resource Planner tab provides an overview of all resources allocated for the project and enables project administrators to manage resource requirements. Additionally, it displays bookings from other projects, allowing users to verify resource availability for other assigned tasks.
- Budget: The Budget tab shows the current costs associated with the project, including resourcing costs and manually entered costs.
