Managing Folders in the Library

After adding content to the Library, you can perform various actions on individual files by clicking the Menu button on the right side of each file entry. 


Below is an overview of these options:


Action Descriptions

  • Open: This opens the file for viewing. It allows annotation, viewing older versions, and file association. See Annotate Files for more details.


  • Download: Click here to download the folder to your device.

  • Edit: This option allows you to modify file details such as description, publish date, expiration date, download permissions, and attached metadata.

  • Cut: Cuts the file from its current location, ready to paste elsewhere.

  • Copy: Copies the file to paste into a different location.


  • Delete: Permanently removes the file from the Library.

  • Folder Share: Generates a direct URL link for sharing the file via email or external communication.

Managing Files in the Library

Managing files in a folder is similar to folder management, but a few actions vary. 

  1. To open the folder you want to manage, click the Actions button on the desired file.

  2. Check Out: Initiates file versioning control, allowing you to lock and edit the specific version. Click here for details about file versioning.

  3. Start Workflow: This action sends the file into a configured workflow, such as for review or approval. See Workflow Builder for more details.
