Adding Files and Links to the Library

Permissions Requirements

  • To add files or links to the library, your user account must have a permission level of Admin or Edit

Adding Content to the Library

  1. Click Add New and navigate to the Folder Manager icon at the top right-hand side of the interface.


    • This action will open a Workbox for content management.

  2. Upload Files
    Within the Workbox, you have two options to upload files:
    • Option 1:  
      • Click the + icon.

      • Select "Upload File" to browse and select a specific file from your device.

    • Option 2:  
      • Drag and drop a file directly onto the designated upload bar highlighted in the interface.
  3. File Upload Process  
    • Once a file is selected or dropped, the File Upload screen appears, where you can set metadata and other properties for your file.

Configuring File Details

Fill out the following fields to manage how the file appears and behaves:

FieldDescription
File DescriptionA brief description of the file.
Publish DateThe date when the file will become visible to others.
Expiry DateThe date after which the file is no longer visible.
Block DownloadEnable this to prevent specified users from downloading the file.
Email NotificationChoose to notify others about the upload (see below).
Meta FormAttach metadata for easy search and organization; see Form Builder.


Email Notification Details

  • If you notify others, select the users to notify and click Send.
  • The email will contain a direct link to the uploaded file.
  • Recipients can annotate the file and send it back for review or further action (refer to File Actions for more).


  1. From the Manage menu, click +, then select Add Link.

  2. In the Create Link dialog box:
    • Enter a Label for the link.
    • Select the Label Type, i.e., Mailto or Http://
    • Enter the URL of the external site.
    • Add a Description (optional)
    • If desired, include a Thumbnail image. 
  3. Click Save.
    • The link will now appear as an item within the Library.
