Uploading Files
When uploading a file to a Workbox or project, you can include additional metadata and settings to improve searchability, control access, and notify relevant users. These enhancements help organize content and streamline collaboration.
- Upload files to keep your Workbox organized. You can drag and drop files or use the upload menu.
You can add the following optional information to your file during the upload process: - Description: Provide a brief description of the file’s purpose or content. This helps users quickly understand the file without opening it.
- File Thumbnail: Upload a custom thumbnail for PDF or ZIP files to make them easier to locate visually within the file list.
- Publish Date: Set a Publish Date to control when the file becomes visible to users. This is useful for scheduling content releases.
- Expiry Date: Specify an Expiry Date for the file. After this date, the file will no longer be accessible to users unless updated by an admin.
- Meta Form: Select a meta form to attach to your file. These forms are customizable and user-friendly for advanced searching and reporting.
- Block Download: This setting allows you to enable or disable file downloads for end users. It is helpful for sensitive or read-only content. (Admin users can override this setting if needed.)
- Email Notification: Trigger an email alert to notify another user when the file has been uploaded. This is ideal for approvals, handoffs, or sharing time-sensitive documents.
