Resource Views in the Resource Planner enable project managers and team leaders to determine which resources are available or over-allocated, facilitating effective scheduling and workload management. They can analyze how resources are utilized, enabling adjustments to maximize efficiency and productivity and providing key insights into resource distribution. This helps managers make informed decisions regarding assignments, project planning, and capacity adjustments to maximize efficiency and productivity and provide key insights into resource distribution.
Resource Views
- Navigate to the drop-down menu to change the view in the Resource Planner.
- Select the view you want to leverage. You can switch between multiple views to gain clarity and insight into resource allocation and project statuses.
Resource Planner Views
The following are the available views that can be selected from the drop-down.
Resource Booking View: This default view displays tasks, assigned roles, and resources. You can also see the capacity of the resources and the hours allocated across the dates you have selected.
Capacity Hours: This provides a view of all the user's hours booked per day on each task. For example, if you set a task to take ten hours across ten days, Screendragon recognizes that the person assigned needs to be booked for one hour a day for the next ten days. It displays in green if a role or individual is not at full capacity. If a role or individual is over-allocated, they appear in red.
Hovering over the role or person allows you to click a search icon and drill down to see how they are allocated. Here, you can see the project and tasks assigned to the user.
In the following image, David Madden is scheduled to work on the 2025 TV Campaign and is booked for 79 task hours between February 28, 2025, and April 1, 2025. This means Screendragon has allocated him 20 hours a week.
You can also adjust the hours here by clicking the total hours box and adjusting the time assigned to the user or resource.
Like the capacity hours view, you can hover and click the search icon to drill in and get details on the amount of time allocated to the user or job role.
As you drill down, you can again see the hours allocated to a user or role based on the project timeline and determine how those are assigned. The following image shows Fergus was allocated ten hours between March 3 and April 4 on the 2025 TV Ad Campaign. This means he is allocated two hours weekly for the tasks' duration.
Adjusting Hours
If you review the assigned hours and realize you need to change or adjust them, you can do that by clicking the Task Hours field and adjusting the hours applied to the user.
Projects View
The project view allows you to see the allocation across various projects you can access.
You can immediately see the project names, their status or phase, and the number of users allocated.
To see details, click the plus icon located on the project name.
This allows you to drill into a project and see the tasks and the hours allocated.
Hover over any task to see details, including Brief/Project name, hours, and assignments.
Click on the task name to view the assignment details.
