Filter Settings
The Filter Settings enable you to customize the Resource Planner's display according to your preferences. The tool is flexible and permission-based, ensuring you can only view the information you are authorized to access.
Note
Once you have completed the necessary Filter Settings, click Apply. To clear the filters, click Reset.
Filter settings include multiple options to adjust your view of the resource planner. You can change the views by toggling through the settings or selecting from the drop-down menus.
Roles/Resource Visibility
Toggle to turn role and/or resource visibility on and off.
Roles Visibility refers to viewing and managing specific roles within the resource planner. This feature allows users to see which roles are being allocated to various projects or tasks, providing insight into resource distribution and helping to ensure that appropriate skill sets are available for each project requirement. It assists in identifying any gaps in role assignments and facilitates better planning and resource management.
Resource Visibility pertains to the accessibility of information regarding individual resources within the resource planner. This feature lets users view specific resources, such as team members or equipment. Enhanced resource visibility enables project managers to make informed decisions about scheduling and resource utilization, ensuring optimal performance and efficiency in project execution.
Assign Settings
This feature displays the booked roles and their associated resources, provided that the "Show Resources" option is selected. This allows for a clear overview of resource allocations linked to specific roles, enhancing visibility and bookings management within the system.
Note:
You can manage your settings by toggling them on or off, enabling you to display relevant information selectively. This functionality allows you to view:
- Only the roles that have been assigned.
- Only the associated resources.
- Only role variants. (A specific configuration or adaptation of a standard role within an organization, tailored to meet particular project requirements or operational needs.)
- Hide roles that do not have assigned users.
You can also choose any combination of these four options, which provides a tailored and focused view of your needed information.
Booking Settings
If you lack access to a project, you can activate the Hide Busy Bookings option. This removes projects you do not have permission to view, which would otherwise be displayed as busy, streamlining your view and ensuring that only accessible bookings are visible.
Booking Display
This drop-down lets you choose how you want to see your booking in the Resource Planner.
Total Hours displays all hours allocated for the task and resource.
Average Hours displays the hours as an average per day.
The percentage displays the hours as the total number of hours allocated daily.
RAG Indicator (Red, Amber, Green)
The indicator is a visual management tool designed to assess the availability status of users and resources. Each color corresponds to a specific alert level, offering immediate insights into resource allocation.
These indicators serve as valuable visual references for project managers and stakeholders, enabling them to monitor project health effectively and prioritize actions.
- Red: This color denotes that a user or resource is significantly overallocated, exceeding 100% of its capacity. It suggests that additional scheduling may lead to potential issues or risks.
- Amber: This color signifies that the resource is underbooked at less than 100%. In the image below, Alex appears in yellow/amber.
- Green: This color signifies that a user or resource is fully booked at 100% capacity.
You can select how to view the indicators from the RAG drop-down.
FTE or Target Billable
When assessing resources, you can choose between FTE (Full-Time Equivalent) and Target Billable from the drop-down menu, depending on your focus:
- FTE (Full-Time Equivalent): When evaluating resource availability, select this option based on the total hours allocated to team members. This is particularly useful for understanding the workforce capacity and ensuring staffing levels align with project demands. Choose FTE when your primary concern is managing and optimizing team capacity and workload distribution.
- Target Billable: Choose this option to track projected billable hours against actual performance. This selection is essential for assessing profitability as it focuses on the financial aspect of resource utilization, particularly in client-driven projects. Opt for Target Billable when evaluating financial performance, monitoring revenue generation, and ensuring project deliverables align with client billing expectations.
Billable
Click this drop-down to view only billable or non-billable projects, or click All to see both.
Show Pipelines/Projects
Easily display or hide pipeline projects to maintain focus on immediate tasks.
Availability
Click the drop-down to filter by availability.
Enter a Start Date and End Date, and then select the checkbox for the availability type you require. This will refine your filter to display only the relevant options.
Example:
If you need an individual to be available for a specific duration, input the dates and choose the percentage of availability you need. This allows you to compare their availability against the project timeline. If a person is unavailable, you'll be notified immediately, allowing you to make adjustments or find someone with greater availability.
Once you have defined all settings, click Apply.
To clear the filter settings, click Reset.
