Managing Steps in the Workflow Builder

The Workflow Builder allows administrators to design and customize workflow processes using a drag-and-drop interface. Each step represents a stage in the workflow and can be configured with custom labels, icons, and actions.


Details Tab


  1. Double-click on an existing step to open the editing panel.

  2. Complete or update details for the following fields:

    • Label: The displayed name of the step (e.g., Start, End, Pending Action).

    • Step Icon, Colour, and Status Colour: Visual indicators shown to end users during the workflow and in the Project Activity Timeline.

    • Description: A brief summary describing the purpose or function of the step.

    • Configuration Notes: A field for adding internal comments or instructions for other Workflow Builder users to explain what happens at this step.

    • Shape: Select the visual shape used to represent the step from the dropdown menu.


    • Step Status Text: The current status label associated with the workflow when this step is active.


    • Layer: Defines which visual layer the action should appear in.


    • Disable Discussion Input: Toggle to prevent comments or discussions during this step.


    • Display Groups: Controls which user groups can view or access this step.


  3. When finished, click the X to minimize the step details to save and close the editor.


Next Step: Navigate to the Dates Tab.
