Archive Manager Documentation
The Archive Manager enables system administrators to define and implement site-wide Archive and Purge policies across all content types. These policies help manage the data lifecycle and storage efficiently. Supported content types include:
- Workflows
- Form Files
- Forms
- Projects
- Files/Folders
- Users
- Groups
Understanding Archive and Purge
- Archive (Soft Delete): When content reaches its specified Archive threshold, it is marked as archived but remains stored within Screendragon for a predetermined period. This allows for potential recovery before final deletion.
- Purge (Hard Delete): When content reaches its designated Purge threshold, it is permanently removed from Screendragon.
Important: The Archive rule applies first if both Archive and Purge rules are set for the same content type.
Creating a New Archive or Purge Rule
- In the admin tools area, navigate to the Archive Manager.
- Select the Content Type by choosing the content category you wish to configure (e.g., Forms).
- Click the Create New button to initiate Rule Creation.
- Configure the Rule Details by completing the following fields:
Action: Select either Archive or Purge.
Days After: Specify the number of days after creation or last modification before the action triggers.
Based on: Choose whether the timing is based on the content's creation date or its last modified date.
Start Date: Define when the rule should commence.
Retroactive Application: Decide if the rule should apply to existing content.
Content Selection: Choose the specific items or criteria for which the rule applies.
Notifications: Select users to notify when the rule is executed.
This structured approach ensures systematic data lifecycle management aligned with organizational policies.
