Resource Planner Roles

User roles in the Screendragon resource planner are crucial in streamlining project management and resource allocation.


The Resources appear on the left, allowing users to view all defined roles and assign tentative bookings. This helps visualize resource needs in the planner. This flexibility not only aids in planning initiatives but also allows roles to be quickly allocated to specific individuals as project requirements evolve, enhancing overall efficiency and collaboration.


Setting Resource Roles

By defining roles within an employee's profile, teams can easily organize and categorize resources based on their expertise and availability.

  1. Navigate to the main dashboard menu and click the settings icon.

  2. Click User Management.

  3. Select a User from the list.

  4. The assigned role or roles appear in the User Resource Data Table under the Role column.

  5. Click User Options > Add New User Role.


  6. Click the Role drop-down and select a role to assign the user.

  7. Enter the number of hours for the full-time equivalent in the FTE field.

  8. Enter the Target Billable for the user role. This refers to the predetermined amount of billable hours or revenue a user is expected to achieve within a specific timeframe as it aligns with project deliverables and organizational goals.

  9. Enter the Actual Cost for a user role. This refers to the expenses incurred and associated with that role over a defined period, including salaries, benefits, overhead, and any other costs directly related to the employee’s work.

  10. Enter the New Role Start Date to identify when the new role is applied to the user.

  11. Check the boxes for Days Available to identify when the user will perform the role.

  12. Click Next.


Applying Roles to Resource Manager


If the new role conflicts with existing roles, you will receive a notification indicating that bookings assigned to the user must be reassigned to another resource.


  1. Select the booking that needs to be adjusted.
    or
  2. You can keep the bookings already assigned but with the new role applied. Click Save.

  3. A confirmation appears that the role has been changed. Click Okay.

  4.  Navigate back to the user profile, and the new role is displayed. Click Save.

  5. The new role appears in the Resource Planner on your specified start date.
