Annotating Files

This guide explains how to open, review, comment on, and manage files within your workbox using the available tools.


Opening a File

  1. From your Workbox, select Open from the dropdown menu next to the file, or just click on the file name to open it.
  2. The file opens in full-screen mode with a suite of tools for reviewing and annotating.


Downloading and Editing the File


  1. Download the File: Click the Download button to save a copy locally. You can then review or make mark-ups offline, and later upload your revised version.
  2. Show Notes: Click Show Notes to add comments or annotations directly on the image for your colleagues to see. If there are notes, the number is displayed on the button. 
  3. Once you click Show Notes, you can make additional notes and suggestions. 

Annotation Features

  • Zoom in and out to focus on specific areas of the image.
  • Select annotation type and color: Choose from dot, circle, square, scribble, or highlight. The wide color spectrum helps your annotations stand out against the background. 
  • Add comments: Use the text box to enter your notes and click Save.
  • Mention colleagues: Tag specific users to alert them about your notes.
  • Set note statusAssign a status to your notes: New, In Progress, Closed, or Archived.
  • Automatic timestamp: Each note is saved with the date and time of creation. Colleagues can log in to reply or comment. All comments are visible in the Info tab.

Viewing File Details

Show Thumbnails: This option displays small preview images of different sections or pages of your file, making navigating and locating specific areas easier.

Info Tab: Shows comprehensive details and displays metadata added during upload or edits.


File Activity: Tracks when the file was previewed, downloaded, or navigated via direct links.


Associate Additional ContentUse the Associated Files section to link related files. Click Import to include files that are associated with the document. 


Versions TabKeeps an audit trail of all changes to your image.


Tools located at the bottom of the screen allow you to:

  • Rotate the image
  • Zoom in and out
  • Fit the image to your screen
  • Select the image
  • Move the image
