Identifying the List Used in a Workflow

Summary

When working with Workflows, you may notice that multiple lists can appear under the filter options. Each list is tied to a Config Group and is managed within the Admin Tools. This article will guide you through the steps to identify precisely which list is being used in a Workflow.


To identify which list is being used in a Workflow:

  • Start in Application Manager to find the Config Group.

  • Use View Form Config to see the lists tied to that group.

  • Open List Manager to confirm the exact list and its column configuration.

This process ensures you can trace any Workflow list back to its source and verify how it is displayed.


Important Note:

Workflow lists are configured in the Workflow Config section within the Admin Tools. Each grouping is associated with a View Form Config, and every grouping can have its own list.


Steps to Identify the List

  1. From the navigation menu, go to Admin Tools. Access Admin Tools is limited and permission-based.
  2. Select Application Manager – this is where the top-down navigation is configured.
  3. Locate the Application: From the list of applications, click the one you want to review.
    • Example: Select My Approvals.
  4. Under the Details tab, scroll down to Config Settings.



    Here you’ll see which Config Group or groups are associated with the selected application.


  • For My Approvals, the Assigned to Me and All Creative Assets config groups are shown.

 


  1. Next, go to Form View Config

  2. Find the Config Group that was identified in the Config Settings (e.g., Assigned to Me).

  3. Within this group, you’ll see the lists available.


    These lists correspond directly to the filter options in the Workflow (My Approvals page).


View the List Details

  1. Click the Group Name to open its settings.

  2. Navigate to the List View – this shows the list currently associated with that grouping.

Confirm in List Manager


  1. Go to the List Manager in Admin Tools.

  2. Locate the name of the list related to the grouping.

  3. Open the list to review its setup, including the configured columns.
    These columns match what you see in the Workflow list view.
