Filtering and Sorting
TABLE OF CONTENTS
The Export Report Builder enables you to refine, organize, and customize the data displayed in your exported report. Using the Filters and Sorting options, you can control which information is displayed and how it’s ordered in the final Excel output.
Column Label
A Column Label identifies each report column.
- These labels represent the fields you’ve selected under Resource (Users & Roles), Project, or Task in the Export Details tab.

- The label names appear as column headers in the export, making it easy to recognize data at a glance.
- You can rename or rearrange labels before exporting to ensure clarity and consistency in your reporting.

Filters
Filters allow you to limit which records are included in your report.
- Use the filter controls to specify criteria such as project name, role, client, or date range.

- Each filter field corresponds to a column in your report, ensuring that only rows meeting your defined conditions are included.
- You can apply multiple filters simultaneously (for example, filtering by Client that contains Clorox and Project Status that matches Active).
- Filtering reduces data volume and helps you focus on the information most relevant to your analysis.

Example:
Filter Project Status = “Active” and Client Experience = “Coca Cola” to view only active Coca Cola projects.
Click the + icon to add additional rows to the filter.
Sort Order
The Sort Order determines the sequence in which data rows are displayed in the exported file.
- You can assign a numeric order (e.g., 1, 2, 3) to define the priority of sorting rules.
- Sorting can be applied to one or multiple columns (for example, first by Project Name, then by Role).
- Higher-priority sorting rules are applied first to logically structure the report.

Example:
Sort 1 – Project Name, 2 – User ID to group users under each project in alphabetical order.
Sort Direction
The Sort Direction defines whether data is organized in ascending or descending order.
- Ascending (A–Z / 0–9) sorts alphabetically or numerically from low to high.
- Descending (Z–A / 9–0) sorts in reverse order, displaying the highest or most recent values first.
- This option can be set independently for each column that has a sorting rule applied.
Example:
Sort Project Start Date in descending order to see the most recent projects at the top.

Link for Column Headers
Some column headers in the exported Excel file can include links that correspond to the column definition used in Screendragon.
- Clicking a linked column header in the Screendragon interface navigates back to the source configuration for that field.
- This feature enables administrators to quickly trace or adjust column definitions without recreating the export setup.
- Linked headers are handy when reviewing saved or shared report configurations.

Example:
Clicking the Project ID# column header opens a dialog that lets you link the column configuration to that project ID.
Tip
For the most efficient reporting:
Apply filters first, then define sort order and direction.
Use meaningful column labels that clearly describe each data field.
Review the linked headers before exporting to ensure your selections align with your reporting goals.
